How the AI receptionist works

Voxlivo AI is an AI receptionist that answers your business calls in about two seconds, day or night. It talks to callers the way your front desk would, books the job or appointment, and sends you the details. Here's what happens, step by step.

Hear a real call first

Recorded on our sample plumbing setup. A caller books a kitchen plumbing visit. Listen for the introduction, the phone number read back digit by digit, and the confirmed arrival window.

1. We build your receptionist

You tell us how your business works, and we turn it into a script. We ask for:

  • Your business name, services and the ones you don't offer
  • Your hours, service area and arrival windows
  • Any prices you want quoted, word for word. It never invents a number.
  • What counts as urgent for you, and the number to transfer urgent calls to
  • The Google Calendar it should book into

We build and test it, then you make a few test calls yourself before it goes live. Setup takes about a day.

2. You forward your line

You keep your phone number. You forward it to the new line we give you, in one of two ways:

  • Always forward, so the receptionist answers every call.
  • Forward when you don't answer, so your phone rings first and the receptionist picks up after a few rings, when you're busy or the line is engaged.

Every US carrier supports call forwarding, and it usually takes two minutes. We send you the exact steps for your carrier during setup, and you can switch it off any time. Our guide on how to forward business calls explains the options.

3. Every call is answered and booked

The receptionist introduces itself as a virtual assistant and says the call may be recorded. Then it does what a good front desk does:

  • Asks what the caller needs and takes their name, number and address
  • Reads the phone number back digit by digit so it's right
  • Checks your calendar and books a time that suits the caller
  • Sends callers with a gas smell, fire or flooding to 911 first
  • Offers to transfer to you when a caller asks for a person or the question is outside the script

4. You get the summary

Within about a minute of the call ending, you get an email with the caller's details, what they needed, whether it's urgent and what was booked. On Growth and above you get a text too. Every call's recording and transcript are in your portal.

Common questions

Will callers know it's an AI?

Yes, and that's on purpose. The receptionist introduces itself as a virtual assistant and says the call may be recorded. Callers get a fast, polite answer instead of voicemail, which is what they actually want at 9 PM with a leaking pipe.

What happens in an emergency?

If a caller mentions a gas smell, fire, or flooding, the receptionist tells them to hang up and call 911 first. For urgent plumbing or HVAC problems it books the next emergency slot and flags the call so you see it right away.

Do I have to change my phone number?

No. You keep your number and forward it to your Voxlivo line, either all the time or only when you don't pick up. Most carriers let you set that up in two minutes.

How long does setup take?

About a day. You give us your services, hours, service area, prices to quote and where to transfer calls. We build and test your receptionist, then you make a few test calls before it goes live.
