AI receptionist vs answering service vs voicemail: which does a small business need?

By Waleed Ahmed · · 6 min read

Every small business misses calls. You're on a job, with a customer, driving, or asleep. What happens to those calls comes down to three options: voicemail, a live answering service, or an AI receptionist. Each one is the right answer for some businesses. Here's an honest look at all three. We sell one of them, so we've linked our sources for every competitor price.

Option 1: Voicemail

Cost: usually free with your phone plan.

What it does well: it's simple, and existing customers who know you will often leave a message.

Where it falls short: many new callers won't leave a message, especially when they need help now. Someone with a leaking pipe or a toothache is more likely to call the next business on the list. Even when they do leave a message, you still have to call back, and by then they may have booked someone else.

Good fit if: most of your calls come from repeat customers, and missing a new one doesn't cost much.

Option 2: A live answering service

Cost: usually priced by the minute or by the call. For example, Ruby's public pricing starts at $250 a month for 50 minutes, and its most popular plan is $720 a month for 200 minutes (Ruby pricing, checked October 28, 2026).

What it does well: a real person answers. Live receptionists can handle unusual calls, show empathy, speak other languages, and in some services take payments or make outbound calls.

Where it falls short: cost. At a few dollars a minute, a busy month gets expensive, so some small businesses only forward overflow calls or cap their minutes.

Good fit if: your calls are complex, sensitive or high value, and a human voice matters more than the cost.

Option 3: An AI receptionist

Cost: usually much lower per minute than a live service. Pricing models vary. Smith.ai prices its AI receptionist per call, with a free plan of 25 calls a month and paid plans from $150 a month (Smith.ai pricing). My AI Front Desk starts at $99 a month for 200 minutes (My AI Front Desk pricing). Voxlivo AI starts at $49 a month for 100 minutes (our pricing). All checked October 28, 2026.

What it does well: it answers every call at once, 24/7, with no hold queue. A good one takes the caller's details accurately, books straight into your calendar and sends you a summary within a minute.

Where it falls short: it follows a script. It's excellent at the calls you get every day, like bookings, quotes from your price list and messages, but it should hand unusual calls to a human. Some callers still prefer a person. A trustworthy AI receptionist tells callers it's a virtual assistant and offers a transfer.

Good fit if: most of your calls follow the same pattern, and the main problem is that nobody is free to answer.

How to choose

Ask yourself four questions:

  1. How many calls do you miss in a typical week? Check your call log. If it's one or two, voicemail may be enough. If it's ten or more, you're likely losing real work. Our missed call calculator puts a number on it.
  2. What are most of those calls? If they're bookings, quotes and “when can you come out”, an AI receptionist handles them well. If they need judgment or a sensitive conversation, a live service is safer.
  3. When do they come in? Nights and weekends cost a live service the same per minute as weekday calls, while an AI receptionist costs the same at any hour.
  4. What's one booked job worth to you? If one extra job a month pays for the service, the decision is usually easy.

You can combine them

These options aren't exclusive. A common setup is to let your phone ring first, send missed calls to an AI receptionist, and have the AI transfer anything urgent or unusual back to them. Our guide to forwarding your business calls shows how to set that up without changing your number.

Try one before you decide

The fastest way to judge an AI receptionist is to call one. Voxlivo AI has a two-minute live demo where you play a customer calling a plumber, and every plan starts with a 7-day free trial with no card. For side-by-side details, see our comparisons with Ruby, Smith.ai and My AI Front Desk.

Hear it answer a real call.
